A statement that researchers plan to share data is useful information, but it leaves several practical questions open. A research-source note should preserve the promised scope, timing and access conditions rather than replacing them with a broad assertion that the data are available.
ClinicalTrials.gov records a plan to share individual participant data, with separate descriptions for the intended material, timing, access criteria and a related URL. A plan is the subject of these fields.
Use an access-status worksheet
Record what the statement says will be shared, when, under which conditions and through which stated route. Keep the date and source version. Add a separate field for what access, if any, was actually verified by the editor.
For example, a plan with a future or relative start date should retain that wording. Do not convert it into an active download claim without checking the relevant release information. This is a general reading example, not a finding about a named study.
Preserve the scope of the material
A protocol, analytic code, data dictionary and participant dataset serve different purposes. Record which materials the source names instead of treating every shared file as the underlying participant data. If only a summary is available, describe the summary as such.
Keep any access conditions visible. A publicly readable description does not itself grant permission to obtain, redistribute or publish research data. Follow the source’s legitimate access process; this guide does not advise bypassing restrictions.
Keep a checkable availability statement
A useful editorial sentence distinguishes the documented plan from a separately verified access result and identifies when each was checked. If access has not been tested, say so. A broken link or unanswered request should not become an invented explanation for why data were not shared.
No participant data were accessed, requested or disclosed for this article. It provides a documentation method, not a legal interpretation of access rights or a claim that data-sharing status establishes the validity of a study’s findings.
Official field definitions read in the browser on 21 October 2026; the page states last update 24 April 2025. Editorial worksheets are suggested reading aids. No live trial or clinical outcome is appraised.
